What challenges were Els for Autism facing before implementing our solution?

The main issues were branding all of our emails correctly and consistently, especially regarding the inconsistent sizing of signatures on the emails our staff were sending. Additionally, we would sometimes reply to an email and a signature would fail to appear in our reply.

What led you to choose Rocketseed?

We were initially told about Rocketseed by another company, then read the great reviews and requested more information. Rocketseed responded the same day and when we met Lindsey (Lindsey Poff, Account Executive), that was it! She was incredibly helpful and explained exactly how Rocketseed could meet our challenges and more. Conversely, the other company we considered, took 72 hours to respond to our initial request! 

Were there any onboarding challenges?

We set Rocketseed a very strict deadline for go-live and they exceeded our expectations, easily meeting the timeframe for both technical set-up and email signature design implementation. One minor issue encountered was one user’s signature was not displaying correctly on mobile which Rocketseed resolved by adjusting the banner HTML code. Rocketseed’s team is efficient, fast, professional, and simply excellent.

How was your onboarding experience and the support you’ve received?

It has been a 5-star service all the way – we’re very happy! The Rocketseed team is very organized and has provided us with a lot of support and availability. The onboarding process was smooth and efficient, with quick response times at every step. Whenever we’ve needed anything, Luke (Luke Styer, Account Manager) has been able to hop on a call to help us. It’s been a great experience, and we feel supported and calm even when minor issues arise.

Rocketseed was also able to enhance our email branding experience by providing us with Signature on Compose, enabling our staff to see their email signatures whilst composing their emails. 

What are you most ‘excited’ about as you move toward going live with our solution?

Having more efficiency, knowing that we’re in central control of our email signatures, guaranteeing us brand consistency, including seamlessly adding new hires.

We’ve also instructed Rocketseed to build sub-brand email signatures for our affiliated companies, including Big Easy Café, Sea of Possibilities and U Can Employ. We’re currently reviewing these additional email signature templates and are excited to activate them, reinforcing a cohesive brand identity across multiple business arms.

One of our clients, Snap, is Ireland’s largest design, print, and branding group. Challenges

Before using Rocketseed, each member of Brooklands Hotel staff could edit their own email signature, resulting in inconsistent messaging across the team’s signatures. Results

In 2022 media house, online and print magazine publisher CIO Africa merged with The Rebel Element to create a stakeholder engagement agency called dx5, focused on facilitating digital transformation (dx) across the African continent. dx5 believe there are 5 pivotal stakeholder groups who ultimately enable digital transformation in any given business, these include internal teams, customers, suppliers and partners, external community and shareholders. dx5 are in the business of connection, created through meaningful business relationships between these 5 stakeholder groups to accelerate enterprise and government growth.

Based in Kenya and South Africa but operating across the continent, the company achieves this connection by providing and creating meaningful platforms that expedite sustainable engagement between the enterprise, government and technology providers, which in turn accelerates digital transformation.

The Challenge

dx5 had two main challenges to meet. Firstly, they needed new email signatures for all staff in line with the new branding and they wanted to create and implement the new signature roll-out simply and quickly.

Secondly, dx5 wanted to run effective email signature marketing campaigns, with the aim of using interactive email banners to promote specific events and initiatives. One key event to promote in this way was the dx100 Digital Transformation Symposium & Awards which was held on 23rd – 25th November 2022.

The Solutions

The Challenges

Internal communications and employee experience is a key priority for AFGRI. However, having 3,500+ staff made communicating effectively with everyone across the organization at once a major challenge, especially without being able to gain insights into who was really engaging with campaigns and actually reading important communications.

The Challenges

When Direct Insurance, the fast growing independent International (Re)Insurance Group, announced its global restructure and rebrand to Aventum, it was clear that every employee email would have to professionally communicate and promote the new brand – requiring the simultaneous and seamless rebrand of hundreds of email signatures.

The restructure and rebrand to Aventum brought together the Group’s UK and international teams into one combined global insurance group with two distinct businesses – Consilium, the Group’s global broking operations, and Rokstone, its global underwriting operations. Together, Consilium and Rokstone, under the Group brand Aventum, currently place over $1.1bn GWP worldwide.

The Re-brand

As Group CEO David Bearman, comments: “We want Aventum to be a global insurance brand that endures – a lasting landmark in the market. The restructure and rebrand puts us in a strong position – we are fit, agile, focussed and ready for the next stage in our journey to become the best global (re)insurance speciality wholesale business in the world.” *

The rebrand spanned all the company’s marketing communications, including the launch of a new website and social media profiles, and therefore every employee email also required a new Aventum branded signature.

The role of everyday business email was also identified as critical in introducing and explaining the re-brand to customers and other stakeholders.

The Challenges

This major Group rebrand presented the following key challenges:

  • To switch all employee email signatures simultaneously and seamlessly from the existing company name to the new brand with the least amount of disruption to the teams.
  • To ensure consistent Aventum branding on all employee emails across the Group.
  • To also feature the appropriate constituent business names – Consilium and Rokstone – on all emails to meet the new brand hierarchy.
  • To use email signatures and banners to encourage audience engagement with the new brand, including driving traffic to the new website and social profiles.

Not only did the new branding need to be implemented, but new format email addresses were also instated. All email addresses had to change to the new aventumgroup.com domain, with new branding elements making existing contacts aware of the changes.

The Solutions

As an existing client, Direct Insurance were experienced in successfully using Rocketseed. They fully explained the re-branding strategy to their dedicated Rocketseed Account Manager and a clear email signature roll-out plan was put in place.

Next, the Rocketseed design team was briefed with the new Aventum brand guidelines and produced new signature layouts for review, incorporating the constituent business names, a clear link to the Group’s new website and interactive icons for recipients to click through to the new social media profiles.

Email banners were also designed to run under the signatures, reinforcing the re-brand with the new Aventum brand identity, striking imagery based around climbing to the peak of the stylised Aventum ‘A’ as well as the bold positioning statement “Dare to Discover”.

Altogether, an extremely eye-catching and immediately engaging email signature design for all employees.

Once approved, the new branded email signature template was created and tested in advance of the full roll-out.

Separately to this the company also had to set-up their new domain and email addresses to start routing through their account in advance of the roll-over.

Crucially, with Rocketseed enabling central control of the company’s signatures, the newly-branded email signatures could be implemented company-wide without individual employees having to manage any updates themselves.

Results

The signature re-brand was a clear success with a seamless, simultaneous switch-over across the Group. Without any individual employee involvement, all staff email signatures had the correct contact information and new Aventum branding.

Also, because Rocketseed enables the reporting and analysis of every recipient click, the client has been extremely pleased with the level of engagement the new signatures have generated in driving traffic to the new Aventum website.

Facing the challenges of Covid lock-down and staff working from home, The University of Johannesburg (UJ) used Rocketseed to ensure consistent branding across both external and internal emails and improved their internal communication with staff.

Dynamic, vibrant and multicultural, the University of Johannesburg (UJ) is one of the largest contact universities in South Africa with a student population of over 50,000, of which more than 3,000 are international students from 80 countries.

Recognised as the country’s second strongest brand, UJ offers world-class academic programmes in both undergraduate and postgraduate education, with a mission of “inspiring its community to transform and serve humanity through innovation and the collaborative pursuit of knowledge”.

The Challenges

UJ was seeking a solution to brand both external and internal email with consistent signatures and marketing campaigns to meet a series of specific challenges.

  • When Covid lock-down restrictions were implemented, staff had to work from home for the first time, highlighting the need for all their emails to be consistently UJ branded and with clear contact details. Up to this point, all UJ staff had manually-added email signatures and, depending on where their emails were sent from, risked omitting signatures from their emails completely.
  • Improve staff’s engagement with internal UJ communications – a challenge made more difficult by their remote working and being inundated by 50,000 students needing to be assisted virtually. This included making staff aware of, and upskilled on, the new fully-online Performance Review system – an essential new evaluation initiative launched by UJ’s HR department.
  • Increase awareness of Covid-related advice amongst both UJ staff and students.
  • Promote online UJ events including the Cloudebates that take place four times a year.

So how do you keep remote-working staff consistently on brand and informed, whilst also driving student awareness and event engagement – all without requiring them to open even more emails or use an alternative platform?

The Solutions

UJ were able to meet all these challenges easily with Rocketseed Campaign Enterprise, the signature management and marketing solution ideally suited to large organisations such as UJ.

  • Rocketseed’s email signature management tool gave the university’s IT team the centralised control they needed to consistently brand and easily update all staff’s email signatures (as per the example below). Also, as long as remote-working staff use their designated UJ email accounts, the university knows for sure that all email signatures are secure and will display correctly regardless of the device they are sent from or viewed on.

  • The university’s HR department were able to drive direct staff engagement with the Performance Review system by using Rocketseed to create and assign impactful, interactive email banners to all internal staff emails for the duration of the campaign. The eye-catching banners (below), with their interactive calls-to action (CTAs), successfully encouraged and enabled staff to simply click through to learn about and log on to the new system training – far more engaging over time than a single dedicated email.   • Using Rocketseed’s banner campaign functionality, UJ was also able to roll out an essential, informative Covid banner, giving it high profile at the top of all staff emails sent to one another and to students for the duration of the pandemic. Again, this made far more impressions than a dedicated bulk email would have.

  • To promote the Cloudebates, awareness and reminder banners – with a clear, clickable registration CTA – were applied to staff emails a few days before each event and on the days of the events themselves. Rocketseed’s analytics, reporting and real-time click alerts made it easy for the organisers to measure the level of recipient engagement and expected attendance.

Results

A prime example result was the promotion of the Cryptocurrency Cloudebate held on the 10th of May 2021. The banner campaign (below) achieved a 39% engagement rate ensuring an extremely well-attended and successful event.

Using Rocketseed, Floorbrite has taken central control of its employee email signatures, enabling an efficient re-brand, complete consistency and immediate marketing message updates company-wide.

The Client – Floorbrite

Established in 1972, Floorbrite is a leading commercial cleaning and facilities management company in the UK. This multi-million pound family-run business now employs over 1,500 staff and provides a diverse range of services to businesses of all sizes across all industry sectors, continually expanding its offering and geographic reach to meet client needs.

The Challenge

Previously all Floorbrite staff members had to apply their own email signatures which was not only time consuming, but often resulted in incorrect branding, out-of-date contact details and a less-than-professional look.

As the company expanded, and the Floorbrite brand went from strength to strength, it was frustrating for management that they couldn’t get this simple touch point quite right.

There was also a realisation that email signatures could be an effective way to communicate key marketing messages, as long as they could be kept up-to-date to meet clients’ current needs.

To solve these issues, Floorbrite contacted Rocketseed.

The Solution

The solution to the company’s issues was Rocketseed Signature which has enabled Floorbrite’s IT and Marketing to:

  • Have central control over all employees’ email signatures, email disclaimers and marketing campaigns via the user interface, ensuring company-wide consistent branding.
  • Set up and update employee signature details automatically via synchronisation with the company’s Active Directory.
  • Roll-out a rebrand with ease by changing the master signature template, without any individual employee effort. The new template was simply assigned on launch day for all to see.
  • React extremely quickly to the challenging conditions of the pandemic, by promoting its specialist Covid-19 sanitation services via interactive banners on all its daily email communications. These are updated instantly company-wide to meet changing market needs and drive direct client engagement through clickable calls-to-action.

Results

The re-brand across all employees was instant and consistent – something that would have been impossible with individual employees responsible for managing their own signatures.

In 12 months of the sanitation banner being live it was seen by almost 15,000 individual recipients, not only making them aware of the new service but giving Floorbrite the option to update their customers quickly in the ever-changing conditions.

The Client – Search Discovery

Search Discovery is a data transformation company that helps organizations use their data with purpose to drive measurable business impact, improving revenue, operating costs, and customer experience. The Challenge

Search Discovery reached out to Rocketseed seeking a solution that would enable them to centrally manage email signatures for their organization in order to promote their brand and automate signature styling.

Their solution prior to Rocketseed was to have new employees, during onboarding, copy a signature template, and then paste it into their Gmail settings, adding their own contact information. Unsurprisingly, this led to problems with unauthorized signature modifications, inconsistent styling, and no way to control email signatures centrally.

Also at this time, Search Discovery was not using its business email signatures for any kind of marketing – and missing out on significant engagement opportunities.

The Solution – Rocketseed Campaign

When Search Discovery saw the marketing opportunities that Rocketseed could open, it was clear that Rocketseed ‘Campaign’ was the perfect product choice. Campaign combines centralised signature control, automated signature updates via Google Directory sync, professional signature design and the advanced functionality to run targeted, interactive email signature banner marketing campaigns and analyse every recipient engagement.

Rocketseed’s reporting and analytics data insights were also immediately attractive to this data transformation business!

Implementing the Solution

An initial onboarding call established what was needed for both sides to complete the implementation. Rocketseed Systems Admin and Search Discovery’s IT team completed the technical portion in 20 minutes via a screen share, and then – with Rocketseed’s easy-to-follow instructions – the very next day Search Discovery were able to sync their Google directory to our system to automate all employee signature contact detail updates.

Designing the Email Signature

In this instance, Search Discovery had a signature design all ready to go and sent over the specifications for Rocketseed to build. Whilst this full signature would be included on all initial emails, they also required a more concise, branded ‘reply signature’ for all subsequent messages in the same email thread. As in this case, Rocketseed will build as many signature templates necessary to meet your exact requirements.

With Rocketseed giving them centrally-controlled, tamper-proof email signatures, for the first time Search Discovery knew for certain that all their employee emails were displaying consistent branding.

Syncing with Google Directory

We immediately solved another of Search Discovery’s signature challenges by enabling them to sync their Google directory with Rocketseed. Now there was no more reliance on individual employees entering their correct contact details. Once synced, any updates to an employee’s details (name, job title, address, phone number etc.) – or simply the addition of a new employee – are automatically replicated in their Rocketseed account and email signature – a huge time-saver!

Search Discovery’s Browser Privacy Impact banner received the engagement that Rocketseed expects customers to see. This banner was added to 137,443 emails, receiving 15,881 unique brand impressions and was clicked on 4,850 times, giving it a 30.5% engagement rate.

With the prestigious achievement of being voted 2020 Best Workplaces Winner, it’s no surprise that Search Discovery chose to feature this prominently on their emails. Their banner saw 3,627 unique brand impressions and was clicked on 924 times, enjoying a 25.5% engagement rate.

The purpose of Search Discovery’s most recent banners was to announce their new Educational Community – a way for people to share educational content and to promote webinars. This banner has not been activated for as long as some of their others but it’s important to note the success of newly- assigned banners too. It has been added to 5,581 emails to date, receiving 3,012 unique brand impressions. With 193 clicks the new banner has so far achieved a 6.4% engagement rate.
